Quad Day, always hosted the Sunday before classes start during the fall semester, has been a rich tradition for more than fifty years. The largest student organization festival in the nation, more than 700 student organizations host booths to promote their mission and recruit prospective students.

Frequently Asked Questions

Requesting Specific Locations
Due to the number of organizations participating, we are unable to accommodate any requests for a specific location or neighboring groups. The organizations that register by the deadline will be assigned a location based on the Category of the organization. Location changes will not be accommodated.

Weather
Should there be any heavy rain or storms, we will cancel Quad Day. A determination to cancel the event will be made Sunday morning, and an email will be sent, if cancelled.

One (1) table is provided for all booth spaces (standard and demonstration spaces).
Tables sizes may vary between 6 ft or 8 ft in length. Our office will pre-assign spaces, and tables will be distributed by our staff. Your table must remain in its location, and we will not accommodate changes in tables sizes. Furthermore, additional tables will not be allowed due to space.

Each organization is permitted the use of only one (1) assigned space.
All organizations, including their members, displays, tents, etc. must remain in their designated area. Booth space will be 12 – 14 ft. Members or their displays may not encroach upon another organization’s space or on the walkways. Such displays will be taken down immediately and members will be asked to leave. If you are asked to leave by the Student Engagement staff, no refunds will be issued. In addition, student orgs are not allowed to walk around the Quads and distribute fliers/items. Last, hosting another organization or group that is not registered is prohibited and will result in your registration being cancelled day of.

Tents
Should your organization wish to have a tent, it must be confined to the area assigned to your organization. Any organization whose tent exceeds their assigned space will be asked to remove the structure. No stakes are permitted to anchor the tent or any other items into the ground. Please note: some locations may not support the use of tents due to light poles, fencing, landscaping, etc. If your organization has a tent and it is obstructed by a permanent structure, you may be asked to remove it.

No solicitation, sales, or fundraising allowed!
Organizations are not allowed to solicit, exchange any funds, sell any items of any kind, or fundraise.

Food & Beverage
Organizations can distribute pre-packaged candy, food, and/or non-alcoholic beverages. 

No electricity will be provided!
Electricity will not be provided for any student organization. Therefore, please plan accordingly. 
No gas-powered generators will be allowed!

Music
Music will be provided. No large speaker or sounds systems will be allowed. Light music is permitted (i.e., small Bluetooth speaker). However, please ensure volume levels are sensible and not disturbing neighboring organizations.

Use of University Grounds
Consistent with University of Illinois Building & Grounds Policies, no stakes, poles, or tents may be driven into the ground. Heavy equipment including vehicles are not permitted on the Quad. Please note, furniture such as couches and living room chairs are not allowed at Quad Day. Any damage to the Main or South Quad grounds will be directly billed to the responsible student org.

Compliance
Failure to comply with any of the aforementioned items, Quad Day Rules & Procedures, and staff directives may result in the withdrawal of all rights to participate in this and/or future Quad Days.

Helpful Tips for Tabling

  • Bring enough materials for the event. Quad Day is from Noon – 4:00 p.m.
  • Rep your Org! Make it easy for prospective members to distinguish your org from any other.
  • Be personable! While we ask that the sidewalks not be blocked, it is okay to stand in front of your table or tent within your area. This presents a more welcoming environment and encourages a more positive interaction. Please keep in mind that you must remain in your area.
  • Use name tags for student org members. With so much going on, nametags are an added touch that allow for the prospective member to call you by name.
  • Make sure someone is always at your table! There’s nothing worse than an empty table as it may look like there’s no interest in wanting to recruit. Moreover, empty tables will be considered as no-shows, which will result in a forfeit of your space.
  • Bring refreshments and snacks. Given it will be hot outside, please bring plenty of water for your student org members.
  • Have fun! This day is a great opportunity to meet new people and gather prospective member names and contact information. Take advantage of this event as it only happens once a year!
